Terms of Service

These terms govern use of Systems Sort, an invite-only CRM application for insurance agencies operated by Legacy Financial Planning LLC, doing business as Systems Sort. By signing in or connecting a mailbox, you agree to them.
1. Access
Access to Systems Sort is granted by invitation from an agency administrator. Accounts are personal: do not share credentials, and keep your sign-in details secure. Administrators may suspend or remove access to accounts within their agency.
2. Acceptable use
- Use Systems Sort only for legitimate business communication with your own leads, clients, and recruits.
- Follow all applicable laws and regulations for email, calling, and texting, including consent, opt-out, and record-keeping requirements.
- Do not send unsolicited bulk email, deceptive content, or messages that misrepresent who you are.
- Do not attempt to access another user's data, probe the service's security, or interfere with its operation.
3. Connected mailboxes
Connecting a Gmail or Microsoft mailbox is optional. When you connect one, you authorize Systems Sort to send messages that you explicitly initiate in the application through that mailbox, using your name and address as the sender and reply-to. You remain responsible for the content of every message you send and for complying with your email provider's terms and sending limits. You may disconnect at any time under Settings → Email Sending.
4. Your content
Contacts, notes, documents, and other records you enter remain the property of you and your agency. You are responsible for having the right to store and process the information you upload, including any personal information about your clients.
5. Third-party services
Systems Sort integrates with third-party services including Calendly for scheduling, telephony for calling and SMS, and Google or Microsoft for optional mailbox sending. Your use of those services is also governed by their own terms. Systems Sort does not request calendar, file, or inbox-reading permissions from Google or Microsoft.
6. Availability and changes
The service is provided on an as-is basis and may change as features are added or improved. We aim for continuous availability but do not guarantee uninterrupted access. Scheduled and unscheduled downtime may occur.
7. Limitation of liability
To the fullest extent permitted by law, Systems Sort is not liable for indirect, incidental, or consequential damages, or for loss of profits or data, arising from use of the service.
8. Termination
Your access may end when your agency removes your account or when you stop using the service. Connected mailbox authorizations are revoked and their stored tokens deleted when you disconnect or when your account is removed.
